HR COORDINATOR ASIA PACIFIC
SUMMARY OF ROLE
The HR Assistant will provide administrative support to the HRM function.
To provide comprehensive HR Administration and support to the Company across all aspects of HR.
Working closely with the HRBPs to ensure a high quality of HR Service is delivered to the business
To support the Global HRM team with any level of communication in order to ensure a first class service is delivered to stakeholders
To act as the ‘honest broker’ between the management team and the employees
Manage as a “project manager” key internal projects of the company, and ensure that these projects are delivered within scope-time-costs.
To support the Head of Field Marketing in the world class execution of key marketing initiatives in the region.
Specific Job Responsibilities
The HR Assistant is responsible for the following:
To be the first point of contact for all HR-related queries
To provide a professional and confidential service for all stakeholders
General HR Administration
This will include contracts of employment, new starter packs, sending application forms
Ensure that there are enough forms for staff to use
Prepare and regularly audit personnel files
Ensure data entry is completed to an accurate and high standard
Provide HR inductions for all new starters ensuring all required paperwork is completed along with the necessary right to work checks
Perform exit interviews and escalate any areas of concern raised to the HRBP / relevant manager
Process leavers, advising the necessary parties (i.e.IT, reception, pension providers)
Monitor and record PDR completion
Record and monitor relocation expense claims
Ensure the relevant HR database is up to date, accurate and complies with legislation
To work with the HRM team to ensure that Workday is developed within the ASPAC region
To update the personnel database with up to date and accurate information that is in line with annual audits.
Assist in the recruitment process
Actively search for candidates via relevant manpower platforms
Send acknowledgement letters to candidates
Arrange interviews via telephone or email (with candidate and interviewing panel)
Send confirmation of interview letters
With the guidance of the HR Officers, liaise with external provider to ensure the timely application and processing of visa requests where required. Prepare claw back agreements for employees in respect of company funded visa applications.
Monitor visa expiry dates if applicable
Company’s Tools : maintain sound understanding of current Company’s reporting tools and ensure that the team maintains key performance indicator data in an accurate and timely manner
Execution of Key Back-Office Projects initiated by CT Management
To lead project designated by the management of the Company (i.e. Cost Saving Initiatives, Workflow Process Implementation, Organizational surveys)
To act as Marketing Support
To manage key marketing activities in coordination with the Head of Field Marketing ASPAC.

Travel will be expected between the ASPAC
